Google Form for Dance Sign-ins

    From the email that Bryant sent out:

    Hi All,

    So Google continues to amaze me with their awesomeness—I’ve created the online form using Google docs that we discussed awhile back; it can be used for dance sign-in this weekend.

    That link will bring you to the spread sheet linked to the form.

    If you want to go to the form—click on the menu item that says “Form (1)” and
    “Edit Form” if you want to go the design view or
    “Go to Live Form” if you want to see what it looks like when dancers would sign in.

    I’ve left a space where we can put the waiver directly on the form, or we can just bring a paper copy and reference it on the form—whatever seems more appropriate. The only reason I think it wouldn’t make sense to have it on the form would be that it makes the form longer than needed and you would have to scroll down to get to the submit button.

    Nancy, if you have a copy of the waiver in electronic format, please send it to me and I can see if it looks reasonable on the form—or I you only have the paper copy then we can just reference it if you don’t want to type it into the computer.

    MOST IMPORTANTLY—I’m sorry to say that I won’t be here this weekend—therefore, in order to use this form, we will need some volunteers to bring their computers.

    One of the cool things about this form is that since it is online all you have to do is go to the webpage and multiple computers can use the form at the same time—so if there are a lot of people—and one computer is not sufficient we can have multiple computers.

    Thanks to anyone who wants to help test out the process—I hope that it will be really helpful for signing in and gathering information efficiently.

    I still think that this is a good idea, but I do have some concerns:

    Who is going to be in charge of the laptops?
    If a laptop gets stolen, is the club responsible for replacing it?

    THis is a big concern knowing that the table has a rotating schedule of people who are manning it.

    I guess I trust people too much, but to answer that issue--we can just make sure there is always someone at the table. Whoever is at the table simply needs to make sure that their replacement arrives before they leave.

    This should already be the status quo as we have always had a money box. If there comes a time when nobody will be at the table--then the laptop can simply be put away--in the owner's book bag or whatever.

    If it is your laptop--label it with a sticky note or something so that someone can come find you to put away your laptop.

    As a thought, if you use the paper/pen to print & sign your name (for waivers), and reserve the laptop for signing up for listserv only, you'll only need 1 computer. The club can buy a laptop chain lock and secure it to the table to address the concern.

  5. Sorry, but I had to take the link out of that email. That link enables anyone access to the sheet. I am now putting a different copy (the new official copy) on the solelyswing gmail account so that it will be password protected. I can invite others to edit the document, such as officers or the president. I am in general in huge favor of keeping this all on Google docs. Whether or not we have the computer there for sign ups is debatable (I'm for it so I don't have to type in names of people with crappy hand writing) but keeping everything secure in Google docs enables a lot of versatility. Anyone with a computer and the password can check the membership, lesson sign ups, paypal payment, etc. with ease.

    John, thanks for taking out the link. I didn't even think about it when I was posting, since I'm at work and trying to do way too many things at once.

    I'd be willing to bring my laptop, but only if the club was going to buy a laptop chain.

    Putting the laptop away in a bag is not going to address the safety issue of the laptop if no one is at the table. And since not everyone drives to the dances, putting it in a car or other secure place is not an option.

    Perhaps I am not trusting enough in some ways, but there have been times that the money box was left in the room. Luckily no one took it, but that is not always going to be the case.
